Secretary to the Committee and Registry Unit
We are looking for a secretary to the committee and registry unit. This is the position for you who enjoy working with municipal decision-making and organizational development together with others.
For the past five years, the municipality's secretaries and registrars have been gathered in a central municipal unit within the service administration. We are a total of 16 people in the unit. Here you will have the opportunity to work proactively, continue to develop new working methods and approaches to create modern and sustainable processes. You will have a say in the working methods so that we can ensure our democratic mission and our support to the administrations.
JOB RESPONSIBILITIES
As a committee secretary, you are an important link between politics and administration. The assignment is broad, and we have a significant responsibility to support the administrations in their committee work, based on legislation, regulations, and other governing documents. You will also participate in development work regarding committee administration and document management. Within the unit, we are responsible for the municipal executive board, municipal council, committees, preparations, and subcommittees. The employee we are now looking for will primarily work with committee secretary tasks for the municipality's community building committee and the Torshälla city committee. As a committee secretary, you will be part of a team with other committee secretaries and registrars.
The job responsibilities include, among other things:
- responsibility for preparing, conducting, and following up on committee meetings, including preparing documents and notices for committee meetings for protocol writing and follow-up.
- developing and streamlining administrative routines in committee work.
- providing support to case handlers and managers regarding quality assurance of documents.
- providing support regarding documentation in public administration.
- responsibility for, quality assurance, and development of the committee case process in close collaboration with the child and education administration.
- managing the committee's email inbox.
- providing support to case handlers in the case management system LEX.
- training new elected officials in working methods.
QUALIFICATIONS
We are looking for someone with a university degree in a relevant field, such as political science, law, or archival and information science. You should have worked as a committee secretary for a few years and have good knowledge of the Local Government Act, the Public Access to Information and Secrecy Act, and the Archives Act. It is highly meritorious if you have experience from municipal community building activities. Experience with the case management system Lex is also an advantage.
Our operations are politically governed, which requires you to have the ability to handle different types of situations and rapid changes, sometimes at a high pace. You contribute constructively to the implementation of new working methods and ensure that joint decisions are carried out in the best way. You are clear and driving in the case process, even when the cases are complex. You have the ability to lead yourself and others in the work. To succeed in your assignment, you need to easily collaborate and build trust with others. You have the ability to see both details and a holistic perspective and work in a structured, methodical way while bringing your own initiatives. Legal security and quality are the foundation of your service performance.
